FTP Polling Times
7:10 a.m. through 6:55 p.m. each day of the week at XX:10, XX:30, XX:45 and XX:55
At these intervals, the In folders on the FTP server are scanned for the existence of new files. If found, a file is moved to a second server for processing, which includes translating and uploading to the mainframe. If multiple files are found in the In folder, the files are moved one at a time every 3 minutes until there are no more remaining.
If a file is received after 6:55 p.m., it will be moved to the second server for processing at 7:10 a.m. the following morning.
834 Eligibility Files
Transmissions need to be transmitted and received in full by 2:55 p.m. Monday through Thursday and 11:55 a.m. on Fridays. The 834 Eligibility files submitted before 2:55 p.m. on Friday will be applied to the following week’s cycle. This is because the 837 routing process occurs before the 834 eligibility updates occur. The 834 eligibility files must be transmitted to CNDS for the cross-referencing process and then sent into the IPRS eligibility update cycle. Hence, you do not want to send in 834 eligibility files the same day you send in 837 claims records that must edit against your eligibility updates. The 837 claim file submission should occur 1 day after associated 834 eligibility updates are submitted.
Please note: if a file is not received on the mainframe by 3 p.m., it will not be included in that evening’s run of the IPRS eligibility update cycle.
837 Claim Files
Transmissions can occur any day (any time) Monday through Thursday during the week. Remember that associated 834 eligibility updates should be submitted one day in advance of the claim submission. The claim file transmissions must be complete by 4:55 p.m. on Friday for that weekend's checkwrite. Beginning February 8, 2007, the claim file transmission deadline has been changed to 4:55 p.m. on the Thursday preceding each Checkwrite.
Please remember the polling times. If this polling process occurs in the middle of a large file transmission, it will pull a partial file (the part that has been transmitted to this point). Please try to send 837 claims file that will complete the transmission well within the polling process intervals. Also, please limit your transaction files to 3 MB per file to avoid translating and uploading congestion.
Rate Spreadsheets
Rate spreadsheets are due from the Controller's area on Wednesday by 3 p.m.
Budget Files
Budget files are received from NCAS on Wednesday nights, and the
IPRS Budget load process executes on the following Thursday morning at 9 a.m.
