ZixMail Recipient Procedures

1.             Purpose

The purpose of these procedures is to outline the steps Division of Mental Health (DMH) NCMail and Local Managing Entity (LME) users must follow to access secure e-mail sent by EDS.

2.             Scope

This procedure includes activities to access ZixMail messages.

2.1       Inputs

This procedure includes the following inputs:

·         ZixMail message alert

·         ZixMail logon information.

5.1       Access ZixMail Messages

5.1.1

Upon receipt of your first ZixMail notification informing you that an encrypted message from a ZixMail user is waiting to be read, click the link provided.  The notification will look similar to the following:

The following screen will appear, informing you that you have requested an encrypted page.

If this is your first time accessing ZixMail, ZixMail will prompt you to set up a password so that it can validate and authenticate you in the future.  This does NOT mean that you will be billed, nor does it affect non-ZixMail e-mails.  You will see the following screen:

Enter a password, re-enter it in the second line, and provide a reminder word or phrase to use as a reminder if you forget your password. 

Click “Submit Password”.

Subsequent logons to ZixMail will take you to the following screen:

Enter your password, and click the “Log in” button.

If only one message is in your ZixMail account, ZixMail will go to the message, which will appear similar to that below (e-mail content and sender will be different):

If more than one message is in the ZixMail account, ZixMail will go to a screen where the recipient can select the message that is to be opened, similar to the screen below:

Click the Subject title to open the message. (Clicking on the box in the 2nd column will flag the message for deletion.)          

Note the “Expires” date in the last column.  This is the date that the message will be deleted from ZixMail.  This will be a true deletion.  When deleted, the message does not go into a “Trash” folder but is truly deleted from ZixMail and CANNOT be retrieved in the future. The “Expires” date will also appear within the message.

Choose to download, reply, delete, or print the e-mail.  See below.

Note the date that this e-mail will expire from the ZixMail system; this is displayed in the e-mail message as the second line of in window.  Once that expiration date/time has passed, the e-mail will no longer be available.  Therefore, if you determine that you will have a need to keep this e-mail beyond the expiration date, you must download it.

If you have accessed ZixMail by clicking on the link included in your e-mail, you will only be able to save the e-mail if you select “File”, “Save Page As”.  This will allow you to save the message, including the page headings and footers, as an .html file in the folder of your choice. 

(If there is an attachment to the e-mail, you WILL NOT be able to access the attachment from a download saved by this method.  See Step 5.1.10 for additional instruction.)

If you accessed ZixMail by clicking the link included in your e-mail message, and you click the Download button, the system will force you select an application with which to associate the e-mail.  When you click “Browse” to select the application, the system will take you to the save function, but will not allow you to select an application.

The second option for saving a ZixMail message is to open ZixMail by highlighting and copying the link from your e-mail.  Open the Internet Explorer Browser by clicking on the icon on the bottom left side of your screen (the blue ‘e’). Paste the link into the address line, and click “Go”.

You will arrive at the same log in screens mentioned in steps 5.1.3-4.

Some messages may also give you the option of clicking a “Download” button to save the file as a .txt, .doc or .zip file.  If you have entered ZixMail through Internet Explorer (IE), either of these download buttons should work the same as in the aforementioned example.

At any point, if you want to see what you have in your ZixMail inbox, just click on the word “Inbox” that displays as a tab in the upper-left section of the screen.  You will then be taken to a window similar to the following:

To see messages to which you have replied, click the “Sent Mail” tab.  You should notice that the sent mail has its own “Expires” date.

Only paid subscribers of ZixMail can compose new messages so the “Compose” tab is grayed out, meaning that, at this time, you can not compose new messages.

When you are ready to exit ZixMail, click the “Log Out” tab, located toward the top-right side of your screen.  This should take you back to the original log in screen, which can be closed the same way you would close other applications.

6.             Guiding Principle(s)

Components of a successful ZixMail Recipient Procedure include a secure, reliable method of receiving and handling ZixMail messages sent to DMH personnel and LMEs.


APPENDIX A:  ZIXMAIL FAQS

1.      What is ZixMail?

·         ZixMail is an application that provides delivery of secure e-mail attachments. It is a simple, easy-to-use e-messaging solution that enables recipients to reply to private and secure e-mail sent via its processes.

2.      Why are we starting to receive ZixMail messages?

·         As conscientious stewards of client data, we need to provide and permit secure, reliable method of receiving documents and messages. The Health Insurance Portability and Accountability Act (HIPAA) places stringent requirements on the handling of sensitive data. ZixMail has been selected by EDS as a tool to send secured messages to DMA and DMH without requiring that the data be placed in password-protected documents.

3.      Is ZixMail tied to NCMail or e-mail accounts used by LMEs?

·         No.  ZixMail works in conjunction with your current e-mail account. ZixMail is a separate application that will allow secure e-mail messages to be received via
e-mail accounts like NCMail and those used by LMEs.

4.      I don’t want to remember another password. Can I use the same password for ZixMail as my e-mail account?

·         Yes. The passwords can be synchronized. Keep in mind that the two are not linked. ZixMail’s password will not automatically be updated when your e-mail account password is updated.

5.      Do I have to pay for ZixMail?

·         No. There is no cost to you to receive and reply to ZixMail messages.

6.      Do I have to install any extra software to use ZixMail?

·         No. ZixMail requires no extra hardware or software to be added to your computer.

7.      Can I retrieve ZixMail messages any time?

·         ZixMail messages have an expiration date, which appears in the last column of the messages list. This is the date that the message will be deleted from ZixMail. When deleted, the message does not go into a “Trash” folder but is truly deleted from ZixMail and CANNOT be retrieved in the future. The “Expires” date will also appear within individual messages.
